Improving tool support for personal information management.

My PhD at Imperial College London studied personal information management: how people acquire, organize, and retrieve information across files, email, and bookmarks. The work produced a CHI 2004 paper, a cross-tool prototype called WorkspaceMirror, and design guidance that still feels relevant in an AI-shaped product world.

Research problem

The problem crossed tool boundaries.

The thesis was titled Improving Tool Support for Personal Information Management. It asked how better tool support could help individual computer users manage the volume and diversity of information they accumulated.

The core empirical study looked across file, email, and bookmark management. That cross-tool lens was important: people did not organize information one tool at a time. They used multiple organizing strategies and often created overlapping folders in different places to support the same work.

The CHI 2004 paper that came out of this work had a wonderfully direct title:Stuff goes into the computer and doesn't come out.

WorkspaceMirror was a prototype for mirroring changes between file, email, and bookmark folders. The field study evaluated the prototype and also investigated how personal organizing behavior changed over time.

The findings were more nuanced than "make everything consistent." Mirroring seemed more appropriate for top-level folders, while people still needed flexibility lower down. The thesis framed that as a trade-off between organizational consistency and organizational flexibility.

  • Good product systems need to be judged from both tool-specific and cross-tool perspectives.
  • Users need consistency, but they also need enough flexibility to adapt their organizing strategies over time.
  • AI can now help connect, summarize, and recover context across tools, but the same product questions remain: what should be integrated, what should stay flexible, and how much control should the user keep?
